Procedures Specialist

The Procedures Specialist supports the Human Resources department through the development, documentation and distribution of the organizations’ procedures.

In summary, the Procedures Specialist will:

  • Develop internal procedures to help maintain an easy to read and searchable set of procedures.
  • Manage procedures and software platforms to provide the best possible employee experience.
  • Meet with internal stakeholders across the organization to gather research to effectively define procedures.
  • Ensure new processes are aligned with any related existing procedures.
  • Organize, publish and maintain documents in the credit union’s document management system (i.e. Policy Tech) in such a way that the information is easily accessible.
  • Update, edit and improve existing documents, converting materials and resources to current templates as necessary.
  • Assist in the development of training for new procedures as required.
  • Participate in project committees to ensure procedures are created, updated and communicated to employees as required.
  • Help to align the goals of the project committee's mandate to ensure that all areas of procedures and related documentation correspond to the desired outcome.
  • Update procedures, establish audit schedule and archive procedures as required.
  • Assist departments in the conversion of department procedures into the procedure software.
  • Any other duties as assigned.

The “must-have” skills and qualifications that we’re looking for are:

  • A degree in Technical Writing, Communications, Business or a related field.
  • 5-7 years of work experience in business writing.
  • Expertise in documenting business procedures.
  • Exceptional communication skills, both oral and written.
  • Proven working experience in technical writing.
  • Ability to pay close attention to detail.
  • Exceptional research and analytical skills.
  • Strong knowledge or Microsoft Office and Adobe Acrobat
  • Excellent time management skills to work within tight deadlines and multiple projects simultaneously

These additional skills are considered assets too:

  • Strong working knowledge of PolicyTech (or equivalent) is considered an asset.
  • Credit Union/Financial Services experience is considered an asset.
