Administration Assistant Wealth Management

ADMINISTRATION ASSISTANT, WEALTH MANAGEMENT

As an Administrative Assistant, you will provide administrative support to the Wealth Management department and will perform a variety of administrative duties related to financial planning and wealth management. 

In summary, the Administration Assistant, Wealth Management will:

  • Report to the Wealth Consultant
  • Work in a fast paced and deadline driven environment while adapting to changing priorities
  • Maintain and update files, ensuring adherence to regulatory and compliance requirements
  • Demonstrate a high level of accuracy, professionalism and confidentiality

As the successful candidate, you’ll have responsibility for:

  • Prepare general correspondence, filing and general office duties as required
  • Schedule internal and external meetings
  • Process incoming mail and courier items
  • Maintain and order adequate office supplies
  • Provide administrative assistance including processing member paperwork and follow up on the status of the transactions (trades, transfers etc.)
  • Identify additional opportunities for sales
  • Organize company documents into CRM system and maintain a sales tracker
  • Respond to staff and clients’ queries (via email, phone or in-person)
  • Prepare presentations, spreadsheets and reports

The “must-have” skills and qualifications that we’re looking for are:

  • A minimum of two years’ experience in an administration or a related environment
  • A self-starter with excellent written and verbal communication skills
  • Expert computer proficiency skills operating Microsoft Excel and Word
  • Demonstration of project management capabilities that include the ability to multi-task, prioritize, organize and manage time accordingly

These additional skills are considered assets too:

  • Experience working in financial services
